Position Summary:

The Admin Executive is responsible for ensuring smooth administrative operations at the healthcare center by maintaining accurate records, optimizing resource utilization, and coordinating with various departments. The role demands high attention to detail, adherence to processes, and strong organizational skills.

Reporting To:

  • Senior Dialysis Technician / Center Manager

Key Responsibilities:

1. Process & Data Management

  • Ensure 100% adherence to Insite and Prato Insta processes.
  • Update daily treatments in INSTA with 100% accuracy.
  • Book Goods Receipt Note (GRN) the same day materials are received.
  • Record daily consumption in EuCliD with complete accuracy.

2. Cost Optimization & Resource Management

  • Optimize consumable usage per treatment, electricity, water, and other resources.
  • Efficiently manage staff and patient rosters.
  • Monitor repair & maintenance costs, local purchases, and petty cash expenses.

3. Reporting & Documentation

  • Generate Management Information Reports (Consumables, Revenue, Patient Data, etc.).
  • Maintain accurate records of patient details, addresses, and contact numbers.
  • Ensure proper documentation for government schemes and claims.

4. Operational Coordination & Compliance

  • Schedule patient appointments and maintain communication with patients, managers, and employees.
  • Responsible for raising indents in consultation with the Sr. Technician.
  • Ensure timely submission of invoices and follow-up for payments.
  • Work with clinical staff to maintain network uptime and complete admin-related EuCliD activities.

5. Adherence to Company Policies

  • Ensure compliance with time & attendance policies.
  • Maintain code of conduct & regulatory compliance.
  • Promote team camaraderie and a positive work environment.
  • Ensure 100% accuracy in reporting.
  • Properly receive, organize, and dispense materials in the storeroom.
  • Monitor patient-wise consumption to prevent discrepancies.

Qualifications & Experience:

  • Education: Any Graduate
  • Experience: Minimum 3 years in an administrative role, preferably in healthcare
  • Skills Required:
    • Strong organizational and multitasking abilities
    • Team handling experience
    • High accuracy in data entry & reporting
    • Proficiency in administrative processes & healthcare operations
