Role Summary

The Investigator Payments Coordinator supports the Investigator Payments Group (IPG) by managing investigator payment processes, maintaining payment systems, coordinating with clinical and finance teams, reviewing site contracts, and ensuring accurate and timely payments to investigative sites.

The role also involves payment validation, stakeholder communication, issue escalation, process improvement, and maintaining audit-ready documentation.


Key Responsibilities

1. Investigator Payments Management

  • Support setup and maintenance of investigator payment systems.

  • Ensure investigator payments are processed accurately and on time.

  • Review payments against contracts and visit data.

  • Escalate payment delays or discrepancies.

  • Generate and validate payment export files.

  • Upload payment details into ICONomics after processing.

  • Conduct first-level and second-level payment accuracy checks.


2. Contract & Budget Review

  • Review site contracts and establish payment schedules.

  • Ensure contract terms can be implemented in IPG systems.

  • Update systems with contract amendments and budget changes.

  • Maintain accurate payee and budget setup.


3. Stakeholder Coordination

  • Coordinate with:

    • Clinical teams

    • Finance

    • Legal

    • IT

    • PTS

    • Sponsors

    • Project Managers

  • Resolve payment-related queries efficiently.

  • Manage expectations regarding payment timelines.

  • Maintain strong working relationships with sites and clients.


4. Reporting & Meetings

  • Prepare payment communication materials and reports.

  • Organize and host study status meetings.

  • Record and distribute meeting minutes.

  • Schedule meeting rooms and teleconferences.


5. Quality & Compliance

  • Ensure compliance with:

    • IPG SOPs

    • KPIs

    • Work Practices (WPs)

    • Industry regulations

    • ICON quality standards

  • Maintain audit-ready documentation.

  • Support quality review activities.

  • Contribute to SOP and process updates.


6. Training & Process Improvement

  • Host training sessions related to IPG processes.

  • Participate in process improvement initiatives.

  • Complete required training and iLearn modules.

  • Improve knowledge of systems and procedures continuously.
