Payroll Specialist

Overview
Under the supervision of the Payroll Manager, the Payroll Specialist is responsible for processing accurate and timely payrolls across multiple countries, updating payroll records, and addressing employee inquiries regarding payroll issues. This role involves working with international teams, ensuring compliance with tax laws, and maintaining confidentiality.

Responsibilities

Payroll Processing

Process monthly international payrolls for Spain, Poland, Germany, and other countries, along with bi-weekly payrolls for Canada and the U.S.
Verify time sheets for completeness and accuracy.
Set up new hires in the time-tracking system and resolve non-billable pay code tickets.

Records Management and Reconciliation

Update payroll databases to reflect changes, including hires, terminations, salary updates, benefits, commissions, and bonuses.
Verify sub-contractor status and rates, preparing monthly reports for accounts payable.
Reconcile various payroll-related accounts, including vacation hours, group insurance invoices, and general ledgers.

Reporting and Compliance

Prepare payroll journal entries for accounting, such as payroll and vacation accruals.
Review and reconcile PEO invoices with time sheets and rates; prepare accounts payable entries.
Ensure compliance with company policies, government legislation, and local tax laws.

Employee Support

Manage the payroll inbox, addressing employee inquiries promptly and professionally.
Collaborate with HR and Finance teams on payroll-related matters.

Additional Responsibilities

Provide support to the Payroll Manager on special projects.
Act as the subject matter expert for international payroll processes.
Uphold confidentiality and ethical standards in handling sensitive information.

Ideal Profile

Education

College degree in a relevant field.

Experience

Minimum 4 years of experience processing payroll across multiple countries.
Fluency in English and Spanish (verbal and written).
Strong organizational and communication skills.
Experience managing confidential information with discretion.

Knowledge and Skills

Demonstrated expertise in international employment tax laws and regulations.
Advanced proficiency in Excel.
Familiarity with payroll software and systems.
Analytical thinking and excellent problem-solving abilities.
