Job Title: HR Onboarding Specialist

Department: Human Resources

Location: Chennai

Reporting To: HR Manager


Job Roles and Responsibilities:

Onboarding and Induction:

  • Schedule and conduct induction sessions for new joiners, ensuring timely coordination with stakeholders and speakers.
  • Facilitate the entire onboarding process, acting as the primary point of contact for new employees in the Chennai location.
  • Assist with form filling for employee and statutory documents, allot employee numbers, and complete joining formalities.
  • Collect and verify pre- and post-recruitment documents from teams and employees, ensuring submission within a week of joining.
  • Monitor and follow up on pending documents, ensuring timely collection and accurate filing.

Documentation and Systems Management:

  • Create employee personnel files within three days of joining, ensuring all back papers are filed accurately.
  • Process ID and access request forms, coordinating with Admin/IT teams for timely issuance of ID cards and login credentials.
  • Validate new joiner data in HR systems (e.g., Compass), correcting and updating inputs as required.
  • Submit ESI/PF forms, bank details, and other statutory documents to consultants promptly.

Employee Support and Retention:

  • Conduct regular check-ins with new joiners during training, monitoring absenteeism, performance, and grievances in collaboration with trainers and reporting authorities for the first 45 days.
  • Escalate unresolved issues to the HRBP team, location HR head, or business unit head as needed.
  • Work on employee retention initiatives, especially during the 0-90 day period.
  • Address new joiners’ concerns, escalating to relevant stakeholders when necessary.

Coordination and Reporting:

  • Collaborate with TA, L&D, HR SPOCs, Team Leads, and other departments to ensure smooth onboarding.
  • Ensure timely issuance of offer letters, appointment letters, ID/access cards, and bank account openings.
  • Prepare and validate bank inputs, sharing them with payroll teams monthly within stipulated TAT.
  • Maintain and update master trackers related to onboarding, sharing weekly reports with the reporting manager.

Miscellaneous:

  • Prepare MIS reports and dashboards using MS Excel.
  • Perform additional duties or tasks as assigned by the reporting manager based on business needs.

Eligibility Criteria:

  • Educational Qualification: Graduation in any stream, with a preference for MSW, Diploma in HR, MBA, or PGDBM in relevant fields.
  • Skills:
    • Excellent presentation and communication skills.
    • Strong interpersonal skills and team collaboration abilities.
    • Proficiency in MS Office, especially Excel, with experience in preparing MIS reports and dashboards.
    • Attention to detail and a willingness to learn.
  • Work Environment:
    • Flexible to work in multiple shifts based on business requirements.
