Job Overview

GSW, a Syneos Health company and global healthcare communications agency, is seeking an experienced Freelance Senior Project Planner to lead complex, multi-channel healthcare marketing initiatives. This role is central to aligning strategic planning, financial oversight, and cross-functional execution, ensuring projects are delivered on time, within budget, and to the highest quality standards.

The ideal candidate brings strong experience in advertising or marketing production, with the ability to balance project strategy, financial management, vendor coordination, and stakeholder communication in a fast-paced, remote environment.


Key Responsibilities

Project & Operational Leadership

  • Plan, coordinate, and manage print, digital, and video production workflows, ensuring seamless execution across all channels.

  • Develop detailed project chronologies and timelines, defining key milestones such as kick-offs, production crossovers, and final delivery.

  • Monitor project scope, timelines, and deliverables to ensure timely completion without compromising quality.

  • Communicate project instructions clearly, supported by accurate documentation and backup materials.

Financial & Vendor Management

  • Own the financial health of assigned brands and projects, including scope definition, budgeting, and forecasting.

  • Create and maintain annual budget scope documents and detailed estimates with appropriate resource allocations.

  • Manage billing and invoicing processes through billing worksheets and reconciliation support.

  • Assist in revenue forecasting and quarterly financial reconciliations.

  • Coordinate with external vendors and production partners, including print houses, to ensure specifications and quality standards are met.

Cross-Functional Collaboration

  • Partner with creative, production, and account teams to identify risks, resolve issues, and implement effective solutions.

  • Support inventory planning and production scheduling for specific client brands, participating in regular status and logistics meetings as required.

  • Ensure all project parameters are clearly defined, tracked, and aligned with client and agency expectations.


Required Qualifications & Experience

Education:

  • Bachelor’s degree (BA/BS) in Marketing, Communications, Business, or a related field, or equivalent professional experience.

Experience:

  • Minimum 5+ years of experience in advertising, marketing production, or project delivery, preferably within healthcare, pharmaceutical, or life sciences sectors.

  • Demonstrated experience managing financials, budgets, scopes, estimates, and billing processes.

  • Proven ability to manage multiple projects simultaneously in a remote or distributed work environment.

Skills & Competencies:

  • Strong organizational, problem-solving, and strategic planning skills.

  • Excellent written and verbal communication abilities with adaptable stakeholder engagement.

  • Solid understanding of cross-functional creative and production roles.

  • Proficiency in Microsoft Office Suite; experience with project management tools is preferred.

  • Ability to interpret complex project requirements and drive solutions collaboratively.


Compensation & Benefits

  • Competitive freelance hourly rate, estimated at USD 60 per hour, subject to experience and role alignment.
