Role Overview
The Specialist – External Delivery plays a critical role within GCS Omnichannel Operations, serving as the operational bridge between external partners, procurement, finance, and internal delivery teams. This position ensures structured oversight of Statements of Work (SOWs), Purchase Orders (POs), vendor governance, contract compliance, and budget control to support seamless external service delivery.

This role is ideal for professionals experienced in procurement operations, vendor management, contract lifecycle coordination, and spend governance within a multinational or pharmaceutical environment.

Key Responsibilities

Procurement & Financial Compliance

  • Act as the primary point of contact for SOW and PO oversight.

  • Ensure full compliance with Procurement and Finance policies.

  • Monitor spend against approved POs and proactively address budget deviations.

  • Support invoice resolution and financial reconciliation processes.

Vendor & Partner Governance

  • Facilitate governance meetings, status reviews, and performance discussions.

  • Prepare meeting agendas, minutes, and action trackers; ensure timely follow-up.

  • Manage partner onboarding, transitions, and documentation updates.

  • Coordinate contract amendments, renewals, and change requests.

Operational Excellence & Process Improvement

  • Identify and implement process simplification and automation initiatives.

  • Improve cycle times and operational efficiency across external delivery workflows.

  • Support Lean or continuous improvement initiatives.

Systems & Documentation Management

  • Maintain accurate vendor documentation within designated platforms.

  • Update and track information in enterprise systems such as Veeva, SAP Ariba, Coupa, MS Teams, or equivalent tools.

  • Ensure audit-ready documentation and compliance alignment.

Budget, Tools & License Oversight

  • Track utilization of studio outsourced service providers (OSPs).

  • Monitor SaaS license consumption and escalate near-threshold usage.

  • Collaborate with tool owners and vendors on contract scope, renewals, and usage governance.

Cross-Functional Collaboration

  • Work closely with Vendor Managers, Procurement, Finance, and regional stakeholders.

  • Support senior leadership on region-specific delivery initiatives.

  • Ensure timely exchange of information between internal and external collaborators.

Required Experience

  • Bachelor’s degree in Business Administration, Finance, Operations, Life Sciences, or related discipline.

  • Minimum 4–7 years of experience in external delivery operations, vendor governance, procurement oversight, or financial compliance roles.

  • Proven experience managing SOW and PO processes in alignment with Procurement and Finance frameworks.

  • Experience supporting vendor invoicing, system access, and issue resolution.

  • Demonstrated ability to monitor budget spend and take corrective action.

  • Experience coordinating compliance activities and maintaining audit-ready documentation.

  • Background in cross-functional stakeholder management and governance facilitation.

Preferred Experience & Skills

  • Hands-on experience with SAP Ariba, Coupa, or similar enterprise procurement systems.

  • Contract lifecycle management experience across multi-country environments.

  • Familiarity with omnichannel marketing operations or agency delivery ecosystems.

  • SaaS license management and utilization tracking expertise.

  • Strong analytical skills including advanced Excel and reporting tools such as Power BI.

  • Lean, Six Sigma, or structured process improvement exposure.

  • Experience working with outsourced service providers (OSPs) and studio production workflows.
