Job Overview

Novartis is seeking a highly skilled and proactive Executive Assistant to provide high-level administrative and operational support to the Head of Business Solutions International. This role is critical in enabling executive productivity through effective coordination, planning, communication, and execution of both routine and high-impact strategic activities.

The Executive Assistant will function as a trusted business partner, managing complex administrative responsibilities, supporting cross-functional stakeholders, and contributing to process optimization initiatives within a global, matrixed organization.


Key Responsibilities

Executive & Administrative Support

  • Independently manage complex administrative and organizational assignments with significant business impact

  • Maintain and improve administrative processes in line with organizational guidelines

  • Advise and support senior leadership on internal processes, tools, and departmental services

Meeting, Calendar & Travel Management

  • Schedule and coordinate on-site, off-site, and virtual meetings across multiple international time zones

  • Manage end-to-end domestic and international travel arrangements, including visa coordination and reservations

  • Prepare and submit expense reports in compliance with company policies

Project & Process Coordination

  • Act as a coordinator or project manager for administrative and operational projects

  • Support the design, planning, implementation, and communication of new or improved processes

  • Contribute to continuous improvement initiatives across administrative workflows

Documentation & Communication

  • Prepare professional presentations, spreadsheets, graphs, and management reports

  • Draft and manage executive correspondence, emails, and contact databases

  • Record and distribute minutes for leadership and departmental meetings

Stakeholder Management

  • Manage administrative interactions with internal and external stakeholders

  • Coordinate complex travel and meeting logistics involving multiple regions and participants

  • Ensure seamless communication and follow-up across diverse teams


Education & Experience Requirements

  • Education: Bachelor’s degree or equivalent professional experience

  • Experience:

    • Minimum 5 years of experience providing executive administrative support to senior leaders

    • Proven experience working in a large, fast-paced, and highly matrixed global organization

    • Hands-on experience managing international travel and expense reimbursement processes

    • Project management certification is an added advantage


Skills & Competencies

  • Strong organizational, planning, and time-management skills

  • Excellent verbal and written communication with high attention to detail

  • Ability to manage sensitive and confidential information with discretion

  • Proven ability to prioritize multiple tasks while remaining proactive and adaptable

  • Advanced proficiency in MS Word, Excel, and PowerPoint
