Job Overview

The Senior Project Planner plays a critical role in ensuring the financial, operational, and delivery success of healthcare advertising programs. This position sits at the intersection of strategy, execution, and financial governance, supporting complex, multi-channel brand initiatives across pharmaceutical and life sciences clients.

As a senior contributor within GSW, you will partner closely with Project Management, Account Leadership, and Production teams to manage scopes, budgets, forecasting, and vendor coordination—ensuring projects are delivered on time, on budget, and in full compliance with U.S. pharmaceutical regulations.

This role supports U.S.-based accounts and requires availability during West Coast (PST) business hours.

Key Responsibilities

Financial & Operational Management

  • Own and manage the financial health of assigned brands and projects.

  • Develop and maintain annual and project-specific scopes of work, budget trackers, and financial documentation.

  • Create detailed estimates, manage billing worksheets, and support accurate invoicing processes.

  • Lead monthly revenue forecasting, including submission preparation and variance explanations.

Project & Production Planning

  • Develop and maintain detailed project chronologies, timelines, and Gantt charts.

  • Coordinate print, digital, and video production workflows across internal teams and external vendors.

  • Ensure final production deliverables are completed, approved, and distributed accurately.

Client & Cross-Functional Collaboration

  • Serve as the primary financial point of contact for clients on assigned brands.

  • Partner with Project Managers and Account Leads to maintain transparency, accuracy, and financial accountability.

  • Proactively identify financial risks, scope changes, and efficiency opportunities.

Required Experience & Qualifications

Education

  • Bachelor’s degree (BS/BA) or equivalent professional experience

Experience Required

  • 5+ years of experience in healthcare, pharmaceutical, medical, or life sciences advertising or marketing production

  • Demonstrated experience managing budgets, scopes, estimates, and forecasting in a regulated environment

  • Proven ability to support multiple brands and complex projects simultaneously

Core Competencies

  • Strong knowledge of U.S. pharmaceutical marketing regulations and compliance standards

  • Solid understanding of print, digital, and video production processes

  • Advanced organizational, problem-solving, and communication skills

  • Ability to establish clear direction, manage stakeholders, and adapt communication styles as needed

  • High attention to detail with strong financial acumen

Technical Skills

  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)

  • Experience with project management software and timeline tools preferred

Work Requirements

  • Must be willing and able to work U.S. West Coast (PST) hours

  • Remote role based in Canada
