We are seeking a highly organized and detail-oriented Project Coordinator – eCOA to support the successful execution of clinical technology projects within a global life sciences environment. This role is ideal for professionals with experience in clinical project coordination, eClinical solutions, electronic clinical outcome assessments (eCOA), study management, and pharmaceutical operations.

The ideal candidate will assist project teams in planning, setup, monitoring, issue management, and closeout activities for clinical studies, ensuring timelines, deliverables, documentation, and customer communication are managed efficiently.

Key Responsibilities

Clinical Project Coordination & Study Management Support

  • Support end-to-end execution of eCOA clinical study projects, including planning, setup, monitoring, and study closeout activities.
  • Coordinate project timelines, milestones, deliverables, and operational tracking to ensure efficient study execution.
  • Assist project managers in maintaining study progress, task accountability, and operational readiness.
  • Support execution of assigned project coordination responsibilities independently when required.

Study Setup & Operational Execution

  • Assist with clinical database setup, study configuration activities, and operational preparation for project launch.
  • Support development and maintenance of study documentation, project records, and controlled operational documents.
  • Coordinate equipment distribution, inventory tracking, and logistics support related to study execution.
  • Assist with documentation updates resulting from protocol or scope changes.

Reporting, Forecasting & Documentation Management

  • Prepare, maintain, and distribute operational reports, project updates, forecasting support reports, and study performance documentation.
  • Support archival and document lifecycle management for completed clinical studies.
  • Ensure project documentation accuracy, completeness, and audit readiness.

Issue Management & Escalation Tracking

  • Facilitate issue identification, documentation, escalation tracking, and timely resolution of project concerns.
  • Support customer escalation management by maintaining clear issue logs and progress tracking.
  • Work with internal teams to ensure prompt closure of operational risks and project blockers.

Meeting Coordination & Cross-Functional Communication

  • Coordinate Project Assurance meetings, stakeholder calls, customer discussions, and internal project meetings.
  • Compile meeting agendas, minutes, action items, and follow-up documentation.
  • Support communication between project teams, customers, and cross-functional operational stakeholders.

Financial & Administrative Project Support

  • Assist with invoice reconciliation follow-ups and project-related operational administration.
  • Support forecasting activities, budget coordination inputs, and project tracking functions where applicable.

Training Compliance & Process Governance

  • Ensure timely completion and documentation of required project training and compliance activities.
  • Support adherence to internal SOPs, project governance standards, and quality expectations.
  • Contribute to continuous process improvement initiatives within project operations.

Customer & Stakeholder Support

  • Respond to customer inquiries and participate in customer-facing calls or meetings under Project Manager guidance.
  • Maintain professional communication and support client relationship management throughout project execution.
