Job Overview

Bristol Myers Squibb is seeking a Project Coordinator – Executive Associate to support the Head of Drug Development Hyderabad (DD HYD) by managing project coordination, administrative operations, and strategic reporting.

The role involves SharePoint management, executive support, project tracking, and operational coordination across drug development teams. The candidate will work closely with internal stakeholders, executives, and cross-functional teams to ensure smooth execution of operational activities.


Key Responsibilities

1. Project Coordination & Reporting

  • Manage initiative status tracking and governance reporting.

  • Coordinate with initiative leads to gather project updates and prepare summary reports.

  • Maintain project staffing lists and resource mapping analyses.


2. SharePoint & System Administration

  • Manage project SharePoint sites, permissions, and external partner access.

  • Handle SharePoint request queues and user support queries.

  • Maintain automated workflows and troubleshooting processes for SharePoint requests.


3. Business & Financial Support

  • Maintain financial reporting workbooks and analysis reports.

  • Generate eTime and demand reports to support business forecasting and analysis.

  • Submit purchase orders through Ariba procurement system.


4. Executive Administrative Support

  • Provide direct support to executives by:

    • Managing calendar and meeting schedules

    • Drafting documents, presentations, and communications

    • Researching and routing correspondence

  • Ensure executives are prepared for meetings with relevant materials and pre-reads.


5. Meeting & Operations Management

  • Coordinate departmental meetings, offsite events, and vendor interactions.

  • Ensure technical readiness for meetings and prepare meeting summaries when required.

  • Manage office administration tasks including expense reporting, filing systems, and procurement requests.

  • Strong proficiency in:

    • Microsoft Office (Excel, PowerPoint, Word)

    • SharePoint collaboration platforms

  • Experience with business reporting tools and workflow automation

Professional Skills

  • Strong organizational and multitasking abilities

  • Excellent communication and stakeholder management skills

  • Ability to work independently in fast-paced, matrixed organizations
