JOB OVERVIEW

The Project Coordinator is responsible for supporting Project Managers in planning, coordinating, executing, and monitoring projects to ensure successful delivery within scope, timeline, and budget. The role involves project scheduling, documentation management, budget tracking, risk monitoring, stakeholder communication, project reporting, proposal support, and administrative coordination while maintaining compliance with organizational standards and project management best practices.


KEY RESPONSIBILITIES

Project Planning & Coordination

  • Assist Project Managers in developing project plans, timelines, and resource allocation.

  • Coordinate day-to-day project activities across multiple teams.

  • Schedule project meetings and prepare meeting agendas.

  • Record meeting minutes and track action items.

  • Ensure timely execution of project milestones.

Project Monitoring

  • Track project progress against timelines and deliverables.

  • Monitor project risks, issues, and dependencies.

  • Escalate critical risks and delays to Project Managers.

  • Support project performance monitoring and reporting.

  • Maintain project schedules and milestone trackers.

Project Documentation

  • Prepare project status reports and progress updates.

  • Maintain project documentation and records.

  • Create and update risk logs, issue logs, and action trackers.

  • Ensure documentation complies with company standards.

  • Maintain organized project files throughout the project lifecycle.

Budget & Proposal Support

  • Assist in preparing project budgets.

  • Monitor project expenses and budget utilization.

  • Support project proposal development.

  • Assist with defining project scope, timelines, and cost estimates.

  • Maintain budget tracking documentation.

Stakeholder Communication

  • Coordinate communication between project teams and stakeholders.

  • Provide regular project status updates.

  • Facilitate collaboration across cross-functional teams.

  • Support effective project communication and reporting.

  • Ensure timely follow-up on assigned action items.

Project Management Support

  • Assist in developing and maintaining project management tools and templates.

  • Support continuous improvement of project management processes.

  • Provide administrative support to the Project Management team.

  • Learn and adopt new project management software and technologies.

  • Perform additional project-related activities as assigned.


EDUCATIONAL QUALIFICATIONS

Required

Bachelor's Degree in:

  • Business Administration

  • Project Management

  • Management

  • Life Sciences

  • Healthcare Management

  • Or a related discipline


EXPERIENCE REQUIREMENTS

Required

  • Minimum 2 years of experience in:

    • Project Coordination

    • Project Administration

    • Project Management Support

Preferred Experience

  • Life Sciences industry.

  • Pharmaceutical or Biotechnology projects.

  • Clinical Research Organization (CRO) environment.

  • Cross-functional project coordination.

  • Budget tracking and project reporting.
